Privacy Policy

Dockson is a workforce-planning platform operated by Baats Consulting ("we", "us"). Baats Consulting is the data controller for the personal data processed through the Dockson application and website (dockson.be).

Account data. Name, e-mail address, phone number, language preference and login credentials of planners and administrators.

Crew data. Name, contact details, skills, qualifications, availability and documents that planners upload about crew members.

Time registration. Clock-in and clock-out times, including the GPS location at the moment of clocking in or out, when a crew member uses time registration.

Billing data. Company name, VAT number, billing address and billing e-mail. Card and payment details are processed directly by our payment provider Paddle; we never see or store full card numbers.

Usage data. Log data and product analytics needed to operate, secure and improve the service.

We process personal data to provide the service (planning, shift communication, time registration), to bill subscriptions, to send shift-related e-mails and messages, to meet legal obligations (including Belgian accounting and tax law) and to keep the platform secure. Our legal bases are performance of the contract, legal obligation, and our legitimate interest in running a reliable service.

We use a limited set of processors: hosting and database infrastructure, our payment provider Paddle (which also acts as merchant of record and handles VAT), and transactional e-mail delivery. Data is hosted within the EU where possible. We never sell personal data.

We keep account and planning data while the workspace is active. Invoices and billing records are kept for the legally required retention period (7 years under Belgian accounting law). Time entries and GPS coordinates are kept while the workspace is active and can be exported or deleted by the organisation's administrators.

Under the GDPR you have the right to access, correct, export and delete your personal data, to restrict or object to processing, and to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit, gegevensbeschermingsautoriteit.be). Dockson uses only strictly necessary cookies and local storage for authentication and language preferences. We do not use advertising or third-party tracking cookies.

If we materially change this policy we will notify workspace owners by e-mail before the change takes effect. The current version is always available at dockson.be/privacy.
